PE designs, builds, rents and sells Voltstack® Power Stations – industrial grade, robust, clean energy alternatives to traditional gas and diesel generators that provide instant power whenever and wherever it’s needed. PE is actively providing clean energy to the film, events, and construction industries in Western Canada, while rapidly integrating into new markets throughout North America and around the world.


The Challenge Ahead: 


We’re looking for an Office and Recruitment Coordinator to join our growing team in Vancouver! You will be highly organized, pay close attention to detail, and will be proactive in creating a pleasant and inviting office environment to visitors and employees. 


This is an ideal position for someone who is self-motivated and excited about building their own function. As an Office Coordinator, you will be supporting the overall team to ensure that the office is running smoothly and efficiently, and assisting the CEO as an Executive Assistant. You will also have the opportunity to grow into an HR Administrative role, assisting the HR team with recruitment tasks. This is an ideal role for someone looking to step into the HR profession. 


Your impact as a Office and Recruitment Coordinator:


Office Administration:


  • Greet visitors to the office, and be the first point of contact
  • Be an active leader in planning and executing monthly office lunches, quarterly office events, and the holiday party
  • Manage incoming and outgoing post, couriers and deliveries
  • Organizing office meetings 
  • Working with the IT Consultant to ensure hardware is working properly
  • Ensure the office environment is clean, and maintained, and arranging necessary repairs/cleaning with the building management
  • Maintain adequate levels of office supplies including office equipment such as desks and chairs
  • Book and coordinate travel for team members as required
  • Acting as the Executive Assistant for the ELT, keeping track of who is in the office, and expense forms
  • Be a part of the Health and Safety committee
  • Lead the Social Committee in planning company events 


Recruitment and HR Administration:


  • Assist the Recruitment Coordinator in various aspects of the full-cycle recruitment process: creating job postings, sourcing candidates, screening resumes, conducting phone-screens, scheduling video and in-person interviews, working with hiring managers, and coordinating reference and background checks 
  • Coordinating interviews
  • Conduct new hire onboarding, including orientation sessions and office tours
  • Maintain employee records and files, including collecting and processing HR paperwork for new hires, transfers, and promotions into BambooHR 
  • Assist in other HR administrative tasks and projects as required


Required Qualifications:


  • Minimum of 1 year of experience working in an administrative capacity
  • Little to no experience needed in Recruitment, but is willing to learn and take on these tasks
  • Post-secondary education in Business or HR related would be an asset
  • Experience managing an office of 50+ employees
  • Experience in customer service and office management is an asset
  • A consistently positive and helpful attitude as well as a willingness to help others
  • Proactive and friendly written and verbal communication
  • Willing to take on multiple tasks at once with little guidance
  • Excellent time management skills with the ability to prioritize work
  • Available to work full-time (Monday to Friday) in our Vancouver office
  • Experience working with MS Office Suite and G-Suite

  • This is a role working out of our Vancouver, BC office; however, we will consider candidates from abroad who are willing to relocate to Vancouver at their own expense
